Study Tour Plan

 

3.1 In your opinion what will be the 3 main challenges to ensure the success of the Study Tour? How would you overcome them?

 

 

 

 

3.2 LC Intent

 

  Please briefly outline your LC’s intention for hosting the Study Tour. Also highlight the unique value your LC (or LCs) could bring to the Study Tour, and consequently to IC 2008.   · Are you applying to host a pre-congress or post-congress Study Tour, or both?

 

3.3 OC Structure

 

Please provide your OC Structure, selected OC member names, and give a timeline of when the OC members could start working, based on your current HR Scenario.   We recommend the following OC structure:   · OCP · VP Communication · VP External Relations · VP Finance · VP Logistics   · Are the suggested VPs managing another role in AIESEC? · If yes, then how will you deal with potential conflicts with the VP’s current roles? · What is your proposed recruitment plan to ensure you have enough members to help on the days of the Study Tour?  

 

3.4 Study Tour Objectives

 

Please list the objectives of the Study Tour. What will be the benefits of the Study Tour? Your objectives should be SMART (Specific, Measurable, Attainable, Realistic, Timely).  

 

3.5 Study Tour Agenda

 

What is the tentative agenda for the Study Tour? Please list the dates, cities to be visited, places of interest to be visited, distance/travel time between the cities and points of interest, and the maximum number of delegates who can participate in the Study Tour.   The following questions should help guide your answer;   · How will you incorporate the theme of sustainability into the Study Tour? · Why did you select these places to visit during the Study Tour? · What is the travel time involved (e.g. from the airport to accommodation, between the cities and points of interest) · How will you ensure that all delegates are greeted at the airport and meet at the same place at the same time to start the study tour? · How will you make sure all the delegates get to IC on time? · What meals will be included in the Study Tour? · How will you ensure a high quality Study Tour with a high level of delegate satisfaction? · How will you ensure that the Study Tour is culturally sensitive and respects the cultural beliefs and habits of the delegates (food, clothes, religion etc)?  

 

 

3.6 Budget

 

Please attach a basic financial budget for the proposed Study Tour, indicating the total cost and cost per delegate. You will need to do preliminary research to ensure that resources are available and the numbers are realistic, (for example, you will need to phone various places of accommodation to find out availability and prices).   The following questions should help guide your answer;   · How will you ensure that the Study Tour is financially sustainable? Please be aware that you may have expenditures before delegate fees are received. How will you deal with this? · How do you propose to receive delegate fees? · If there is demand, would you be prepared to offer a post-IC study tour? Would you have the resources available? · How will you deal with cancellations?  

 



3.7 External Relations

 

Please provide a brief fund-raising plan and include the following;   · List of Products that could be created out of the Study Tour · Please list the companies or organizations that you have contact with and could be potential sponsors or in-kind supporters of the Study Tour. · Create Study tour proposal as attaché version. · Create a logotype and moto for Study tour.
