3.4. Given below are some advice /rules of conference procedures (issuing an invitation, paper admission, registration). Read each advice /rule and explain to your partner: a) what the participant is supposed to do; b) why it is important to follow the advice /rule.
1. Participants are kindly requested to bring their invitations with them to the reception.
2. If a busy and eminent speaker is invited, it will be wise to give him a choice of dates.
3. Except at a committee meeting, the speaker should stand.
4. When inviting a speaker, always state the length of time he is required to speak.
5. In the event of cancellation of a registration after (date), refunds will not be made but the conference publication will be sent to the registrant.
6. The speaker is expected to keep to the point at issue (=keep to the subject) while delivering a paper.
7. Papers will not be accepted for reading “in absentia”.
8. Papers received after the deadline may not be accepted.
9. Authors must take full responsibility for the correctness of the abstracts contents.
10. The speakers are requested to be brief, factual and avoid personal critical remarks.
11. Authors who wish to contribute a paper must submit an abstract of approximately 200 words in duplicate by (date).
12. Invited guests are exempt from registration fees.
13. Explicit and complete advance information to registrants about location and hours of registration at the Congress will prevent frustration and confusion among incoming participants.
14. The congress badge serves an admission to the events of the congress. The name-plate will help in personal contacts.
15. Foreign participants arriving at the congress without preliminary registration should apply to the “Late Registration Department” to fill in registration forms, pay the fees and receive documents and badges.
