How did you select the volunteer? (Is the volunteer a member of your organisation, are you going to involve the volunteer in your current activities, did you interview the volunteer by phone or face-to-face…?)

We try our best to make recruitment process maximum transparent and fair.

The target group for us are young people interested in volunteering, European youth movements and tendencies and intercultural learning.

All perspective candidates will be informed about the EVS opportunities and the “vacant” EVS placements through our mailing list (each year about 150 Ukrainian take part in our international short-term volunteer exchanges and our mailing list growing rapidly), thought our web-site and other Ukrainian public web-sites devoted to YiA and youth activities.

We do only primary selection as sending organisation, and final selection of the candidates will be done by the host organisation.

What kind of theoretical preparation will you provide the volunteer with? (Insurance, rights and responsibilities of the volunteer, SO and HO tasks, duties of the tutor of the project…).

We do it in a form of WEBINAR or online audio presentation, because our volunteers are from all over Ukraine and no always can afford additional time and costs to take a travel to us. Also printed or electronic booklets provided, plus EVS Info-pack, which has information on topics rised of PDT, also about what to expect from EVS and on how to receive and use Youthpass at the end of the activity. We always evaluate PDT in a form of detailed questionnaire about the main points of the program and encourage to ask questions. We carefully learn it and later discuss with volunteer questioned points, correct if needed and explain one more time. We use different methods of communication with our volunteers – social network chat, skype, email, telephone and face-to-face in office if possible.

What kind of emotional preparation will you provide the volunteer with? (Culture shock, conflict resolution, expectations, contact with ex-volunteers, keeping the volunteer motivated…)

During all preparation period and project itself we kept close and active communication with all sides involved- volunteer and CO. We promptly reply all calls and emails. According to email history during preparation period (before project started). Plus we all time have regular phone communication. No less active communication was with CO. We told about problems, expectations, about adapted period, we try that our volunteers will be independence and strong in other country. We try also to contact with ex-volunteers and to keep all info about similar projects. All time we keep in touch with our volunteers and also we try to be such as «second mother», and if volunteers have some fairs and scared we try to win its together in telephone or e-mail or contact each other.

Does your national agency or your organization organise pre-departure trainings for the volunteers?

Yes. It is in the form of WEBINAR or online audio presentation because we have volunteers from all Ukraine.

What kind of information will you provide the volunteer with? (Languages, cultural information about your own country and the hosting country…)

Technical support with formalities (visa, travel):

We have informed CO and volunteer about the details of visa procedure. According our policy we provide the full visa support to EVS volunteers – help them to complete visa application form, to prepare all accompanying documents according to Embassy requirements, provide information about Embassy address, contact numbers and so on. We also provided assistance and consultations to EVS volunteer about possible means of transport and it cost. All this allowed to prepare all documents correctly and receive visa for EVS volunteer promptly without any difficulties.

We did CIGNA enrolment for our EVS volunteer

We also provided assistance and consultations to EVS volunteer about possible means of transport and it cost, helped in travel arrangements and planning
